Should you pay for Claude? and how to manage usage caps

A plain-English guide to the plans, for businesses

Claude, made by Anthropic, is a capable AI assistant that plenty of businesses now use every day. The free version does a lot, but once you start paying the plans can blur together. There is Free, Pro, two versions of Max, a Team plan with two different seat types, and Enterprise. For a small team it is not obvious where to begin.

This guide breaks down each plan in plain terms, with a focus on what matters for a business of up to about 15 people. That means shared work, letting some people do more than others, connecting Claude to your existing tools, and keeping your data out of the training pool. Here is our summary to help you decide whether it is worth paying, and which plan to pick.

The short answer

For a team, the plan that matters is Claude Team. It gives everyone a shared workspace, keeps your data out of Anthropic's training under its business terms, and lets an admin control who can do what. Its standout feature for a mixed team is that you can put most people on Standard seats and give your one or two heavy users Premium seats, all inside the same workspace. On annual billing a Standard seat costs about the same per person as an individual Pro subscription, so you get the team features and the data protection without paying much more.

The individual plans (Free, Pro, Max) still have their place, and we cover them below, because one or two people may need more than the rest, and because Team has a minimum of five seats.

The plans, one by one

Free version

  • Access to a capable everyday model with daily limits that reset through the day
  • Good enough for the occasional question or a quick draft
  • Does not include the top model or the developer tools
  • On the free plan, your conversations may be used to train Anthropic's models by default, with an opt-out available

The Free version is fine for testing the water. It is not the right base for business work, mainly because of the data situation and because the limits get in the way once you use it seriously.

Pro: for one person using AI daily

  • The everyday model by default, with credit-based access to the top model
  • Generous daily limits, Projects to organise your work, and Artifacts
  • Extended thinking for harder problems, and priority access
  • No shared workspace, and no admin controls
  • Your data may be used for training by default, with an opt-out available

Pro is the right plan for an individual who uses AI every day. The catch for teams is that Pro is a personal account. There is no shared space, no central billing, and no way for an admin to manage it. Five people on five separate Pro accounts is five islands.

Max: for heavy individual users

  • Everything in Pro, with much more usage headroom
  • Max 5x gives about five times Pro's capacity, Max 20x about twenty times
  • Still an individual plan, so no team workspace

Max is for the person who lives in Claude and keeps hitting the ceiling on Pro. Its role in a business is usually to power one or two heavy users, not to run the whole team. Inside a Team plan, a Premium seat does a similar job, which we come to next.

Team: for teams that share work

This is the plan built for what you described. Claude Team gives your people a single shared workspace instead of separate personal accounts. Key features:

  • A shared workspace with central billing and an admin console
  • Two seat types in one workspace. Standard seats for everyday users, Premium seats for heavy users, mixed however you like
  • Shared projects, so a group can work toward the same goal with the same files and instructions in one place
  • Workplace connectors to tools like Google Drive, Gmail, Google Calendar, Microsoft 365, Slack and GitHub, enabled centrally by an admin
  • Your data excluded from training under Anthropic's business terms
  • Single sign-on through Google or Microsoft, and admin controls
  • Usage limits that apply per person, so one heavy user does not eat into everyone else's access

Team has a
minimum of five seats and runs up to about 150. On annual billing, a Standard seat costs roughly the same per person as an individual Pro subscription, which makes the decision easier than most teams expect. You pay a similar amount and get the workspace, the admin control and the data protection on top.

Enterprise: for larger organisations

  • Custom pricing and the highest limits
  • Advanced security, automated user provisioning, audit logs and data residency options
  • Compliance support including options for regulated industries
  • Aimed at bigger deployments, generally organisations past around 150 people

For a team of up to 15, Enterprise is overkill. Team covers what you need without the custom contract.

The two Max tiers and the two Team seat types are about how much you can use, not extra features. Higher tiers give more headroom, not a different Claude.

Work out your own numbers

The list prices are one thing. What matters is what your team would actually pay, and what you would get back in time. Set your team size below, choose how many people need a Premium seat, and you will see a monthly cost in Australian dollars along with a rough estimate of the time it could save.

Your team

Everyone who will use Claude. Claude Team needs at least 5 seats.

Heavy users who need much more usage. A Premium seat replaces a Standard one for that person. Leave at 0 if unsure.

Billing

Annual is cheaper and billed once a year. Monthly costs a little more but stays flexible.

How we work this out
  • Prices are Anthropic's list prices in US dollars, converted to Australian dollars and shown including 10% GST.
  • Figures are approximate and based on an exchange rate of 1 USD to A$1.55. The rate on the day and your payment method will move the final amount, so confirm at the checkout.
  • If your business is registered for GST, you can usually claim the GST back through your BAS.
  • Claude Team has a minimum of 5 seats. Annual billing is paid up front for the year.
  • A Premium seat replaces a Standard seat for that person in the same workspace. It is not an extra charge on top.
  • Time saved is your own estimate. We multiply the weekly hours saved by 4.33 to get a monthly figure, then value it at the hourly rate you enter.
  • Correct as per the Anthropic website in July 2026. Plans and prices change often.

The three things teams actually ask about

Sharing work across the team

On Team, the main tool for shared work is a shared project. A project is a container for a set of chats, files and instructions. Anyone in the workspace with access can add to it, and Claude uses that shared context so every new chat starts from the same setup. It suits ongoing work like a client account, a content programme or a recurring report, where you want everyone working from the same brief rather than starting cold each time. A project per client or per recurring task is a common pattern.

Letting some people do more than others

This is where Claude Team has a genuine strength worth knowing about. Within one workspace you can mix Standard and Premium seats. Standard seats suit everyday users. Premium seats give much more usage, similar to a Max plan, for the one or two people who lean on Claude all day. You are not locked into one level for everyone, and you do not need to buy a separate subscription on the side to lift a power user. Match the seat to the person's actual usage, not their job title, and upgrade someone to Premium only once they start bumping into limits.

Connecting Claude to your existing tools

Team supports workplace connectors to the everyday tools most teams already run, including Google Drive, Gmail, Google Calendar, Microsoft 365, Slack and GitHub. An admin enables each connector at the workspace level, then each person signs in with their own account for the tools they use. The admin can also restrict connectors that should not be used across the business. One thing to note: there are no native connectors for project tools like Jira, Asana or Monday yet, so those need a workaround. As always, central control is the difference between a tidy setup and a mess, and it is a reason connectors belong on a business plan rather than personal accounts.

Our recommendation for a team of up to 15

Start everyone on
Claude Team with Standard seats, billed annually. It gives you the shared workspace, the connectors, the admin control and, importantly, keeps your work out of training under Anthropic's business terms. That matters for any business handling client information, and it matters even more for government and community organisations.

For the one or two people who are clearly heavy users, give them
Premium seats in the same workspace. Leave Enterprise until you actually need automated provisioning, audit logs or deeper compliance, which usually means you have grown past this size.

One catch to plan around: Team needs a
minimum of five seats. If your team is smaller than that, paying for five seats may still be worth it for the shared workspace, but a few individual Pro accounts, with Max for a heavy user, can be simpler and cheaper until you grow.

What the pricing pages do not shout about

A few things worth knowing before you commit:

  • The five-seat minimum. Team is a real jump for a business of two or three people. Below five, individual plans are often the smarter start.
  • Usage limits are vague. Anthropic does not publish exact message caps, and they reset on a rolling window. Heavy users feel this before light ones do.
  • Which model answers. The plan is the headline. What changes your experience is which model responds and how hard it is set to think, and that varies by task. The model names change often, so do not over-index on them.
  • The annual commitment. Team and Pro are cheapest billed annually, which means paying up front. Monthly billing costs a little more but keeps your options open.
  • Prices and policies move. Anthropic has changed both its prices and its data terms in the past year. Treat the figures here as a July 2026 snapshot and confirm before you buy.

Tip: switch off training on the personal plans

If anyone on your team uses a personal plan (Free, Pro or Max), there is one setting worth changing straight away. Since a policy change in late 2025, Anthropic uses conversations on these plans to help train its models by default. You can turn that off in under a minute.

Go to
Settings, then Privacy, and switch off the model training setting (labelled along the lines of "Help improve Claude"). From that point, your new and resumed chats are excluded from training. It is worth having everyone on a personal plan do this, especially if they touch client or sensitive information.

Two things to know. On Claude Team and Enterprise this is already handled under Anthropic's business terms, so your workspace data is not used for training. And leaving training on also extends how long your data is retained, so switching it off is good practice on any personal account used for work.

Managing your usage and avoiding extra charges

Worth clearing up a common worry. On Pro, Max and Team you pay a flat monthly fee, not a charge for every message. You are not billed by the token on these plans. Each one comes with a usage allowance that resets on a rolling window through the day, with a weekly cap on top. If you reach the limit, Claude simply pauses until it resets rather than charging you more.

There is only one way a bill can grow beyond the flat fee, and it is opt-in. Anthropic lets you switch on extra usage, which keeps you going past the cap at pay-as-you-go rates. On Team, an admin can turn this on and set a spend cap per person, so the monthly total stays predictable. If you never want a surprise, leave extra usage switched off, or set a firm cap. That single setting is the whole question of getting charged extra on these plans.

The more common goal is to make your allowance last, so nobody hits a wall mid-task. A few habits help:

  • Start a new chat for a new topic. Every reply in a conversation re-reads the whole thread, so long chats use more of your allowance with each message. A fresh chat is lighter.
  • Load documents into a Project once, rather than pasting them into every chat. A Project holds the context for the whole team, so you set it up once instead of re-uploading the same brief again and again.
  • Match the model to the task. Use a lighter, faster model for everyday work and save the most powerful model for the hard problems. Running the heaviest model on simple tasks uses your allowance quickest.
  • Keep attachments lean. A large file stays in the conversation and is re-read on every follow-up, so attach only what you need and start fresh when you move on.

One last note for anyone going further. If your business uses Claude through the API rather than a subscription, that is genuinely billed per token, and the same habits, trimming context, choosing the right model, and reusing cached content, translate straight into lower cost. That is a developer setup though, and separate from the plans in this guide.

Frequently asked questions

  • Is Claude Team worth it for a small team?

Yes, for most teams of five or more it is. Billed annually, a Standard seat costs roughly the same per person as an individual Pro subscription, but adds a shared workspace, admin controls and data protection. Below five people, individual Pro accounts are usually the better start, since Team has a five-seat minimum.

  • What is the difference between Claude Pro and Claude Team?

Pro is a personal account for one person, with no shared workspace and no admin controls, and your data may be used for training by default. Team is built for groups. It adds a shared workspace, shared projects, workplace connectors, admin controls and single sign-on, it lets you mix Standard and Premium seats, and it excludes your data from training under Anthropic's business terms.

  • Can some users have more powerful access than others in Claude Team?

Yes, and this is a real strength of the Team plan. You can mix Standard and Premium seats in the same workspace. Standard suits everyday users, Premium gives heavy users much more usage, similar to a Max plan, without needing a separate subscription.

  • Does Claude Team connect to Google Workspace and Microsoft 365?

Yes. Claude Team connects to Google Drive, Gmail, Google Calendar, Microsoft 365, Slack and GitHub. An admin enables each connector for the workspace, and each person signs in with their own account. There are no native connectors for tools like Jira or Asana yet.

  • Does Anthropic train on my data?

On the personal plans (Free, Pro and Max), your conversations may be used for training by default since a late 2025 policy change, with an opt-out in Privacy Settings. On Claude Team and Enterprise, your data is excluded from training under Anthropic's business terms. This is a key reason to choose Team for any work involving client or sensitive information.

  • How much does Claude cost in Australia?

Anthropic prices in US dollars and adds GST for Australian customers. As a rough guide including GST, Pro is around $34 a month, a Team Standard seat is around $34 per seat a month billed annually, a Team Premium seat is around $171, and Max is around $171 or $341 depending on the tier. Confirm the exact amount at the checkout, and if you are registered for GST you can usually claim it back.

At Captovate, we’ve always embraced what’s next. When social media first burst onto the scene, we were among the first in the Top End to help local businesses get in front of their audiences in brand-new ways. When websites moved from static pages to dynamic, mobile-first experiences, we were already building for the future. And now, as AI transforms how we approach content, design, SEO, and more, we’re not afraid. We’re curious. Let’s be real: AI can feel overwhelming. It’s fast. It’s changing daily. It’s easy to assume it’s either a threat or a silver bullet, when in reality, it’s neither. But here’s the thing: AI won’t replace people. But people who know how to use AI? They’ll replace the ones who don’t.

In the world of digital marketing, it's easy to get lost in the hustle of driving traffic to your website. After all, more visitors means more opportunities, right? Not necessarily. The reality is that without clear marketing goals, your efforts might not lead to the results you’re hoping for. Many times, we met with clients who, like many businesses, have spent time and resources driving traffic to their website but struggled to turn visitors into leads or sales. The problem wasn’t with their traffic— it was with their approach . They hadn’t clearly defined what they wanted to achieve, and as a result, the visitors they attracted didn’t know what action to take when they landed on the site. The result? Potential customers were lost, and the marketing spend felt wasted. This is a common challenge for businesses. They know they want more customers, but when it comes to defining the specifics, they often miss the mark. Without a clear set of goals, your digital marketing efforts are like a ship without a rudder… you might get somewhere, but it’s not where you intended to go.

You type a question into Google, but instead of the usual list of blue links, you get a fully formed, AI-generated answer. It’s precise, direct, and—most importantly—it doesn’t require you to click on a website at all. This is the new reality of search, and it’s changing the way businesses get found online. For years, digital marketers have obsessed over Search Engine Optimisation (SEO), working tirelessly to rank their websites higher on Google’s results pages. But as AI-powered search engines like Google SGE, ChatGPT, and Perplexity take over, a new form of optimisation is emerging—Generative Engine Optimisation (GEO).

End-of-Life for Drupal 7 As technology evolves, it’s important to keep your website up-to-date and running smoothly. One of the best ways to do this is by upgrading to the latest version of your content management system (CMS). Drupal 7 will reach its end of life on the 5th January 2025. This means if your website has been built in Drupal 7, your software will no longer be supported. So what exactly does that mean? and what are the risks of staying with Drupal 7? 1. Support and Security Updates One of the biggest risks of staying with Drupal 7 is that it reached end-of-life (EOL) on 5th January 2025. This means that it will no longer receive official support or security updates from the Drupal community. This leaves your website vulnerable to security threats and attacks, as new security vulnerabilities may be discovered that will not be addressed by Drupal. Without regular security updates, your website may be at risk of being hacked or compromised. This can result in sensitive information being stolen, your website being defaced, or your website being used to spread malware. By upgrading, you can ensure that your website remains secure and protected against potential threats. 2. Lack of New Features and Functionality Another risk of staying with Drupal 7 is that you will miss out on new features and functionality. Each new release of Drupal introduces a range of improvements and new features that can help you create a more engaging and effective website. By staying with Drupal 7, you'll be missing out on these new features and functionality, and your website may become outdated and less effective over time. 3. Performance Issues Drupal 7 was released in 2011, and technology has come a long way since then. As a result, Drupal 7 may not perform as well as more recent versions or Drupal or another CMS. Slow load times and performance issues can lead to a poor user experience, decreased engagement, and lower conversions. Upgrading from Drupal 7 to a more up to date CMS can help improve the performance of your website and provide a better user experience for your visitors. Long term planning You might be asking, do I need to budget to rebuild our website every few years? In short, the answer is no. A lot has changed in technology since 2011 (when Drupal 7 was launched), particularly in the area of security. This has resulted in a massive change to the infrastructure used in Drupal 8 and beyond. This means future upgrades are a more simple process, and don't require a full rebuild like Drupal 7 sites. In saying that, you should be budgeting for annual maintenance, and a full rebuild every 5 or so years. If you think about it, your organisation is likely to look different from 5 years ago - and your website is a window to your business. Drupal 10 benefits Here are some of our favourite features of Drupal 10: 1. Built-in layout tools Support Drupal's goal of making the software more accessible, the new Layout Builder now empowers content editors to easily create and update pages using visual drag and drop elements. This gives editors greater control in editing pages themselves without relying heavily on developers. 2. Mobile responsiveness Mobile responsiveness is vital for user experience and accessibility. Drupal's administrative interface has been fully optimised for responsiveness, delivering a smooth content management experience across all devices. This means that even if a content editor is away from their desk, they can still post important updates from their tablet or mobile phone with ease. 3. Built-in media library Drupal has introduced a powerful Media Library - a sophisticated management tool that simplifies the process of uploading, searching and inserting various types of media. The library makes it effortless to locate existing media assets, particularly for websites with extensive content, saving valuable time and effort. 4. Improved user experienced While the overall user experience of Drupal 9 and 10 has been drastically improved, there has also been a focus on the user experience of first-time Drupal users. The goal has been to make Drupal easier to understand and utilised by people with limited web editing experience. The Drupal admin theme standardises everything and makes content more accessible.
