Should you pay for ChatGPT, and which plan is right for your team?

A plain-English guide to the plans, for businesses

Most people have used the free version of ChatGPT. Fewer know what they actually get when they start paying, and the plans are easy to mix up. There is a Free tier, a Go tier, Plus, two versions of Pro, a Business plan and Enterprise. For a small team it is not obvious where to start.


This guide breaks down each plan in plain terms, with a focus on what matters for an Australian business of up to about 15 people. That means shared work, letting some people do more than others, connecting ChatGPT to your existing tools, and keeping your data out of the training pool. Here is our summary to help you decide whether it is worth paying, which plan to pick and how much you should be looking in pay (in Australian dollars).


The short answer


For a team, the plan that matters is ChatGPT Business. It gives everyone a shared workspace, keeps your data out of OpenAI's training by default, and lets an admin control who can do what. At roughly the same per-person cost as an individual Plus subscription, you get the team features and the privacy protections that Plus does not include. For most small businesses, that makes Business the sensible starting point rather than everyone buying Plus on their own.


The individual plans (Free, Go, Plus, Pro) still have their place, and we cover them below, because one or two people on your team may need more grunt than the others.

Prices are approximate, in Australian dollars including 10% GST, based on an exchange rate of 1 USD to A$1.55. The plans, one by one

Free version

  • Access to a capable model with daily usage caps
  • Good enough for the occasional question or a quick draft
  • Your conversations may be used to train OpenAI's models, with an opt-out available
  • Now carries ads in some markets


The Free version is fine for testing the water. It is not the right base for business work, mainly because of the data and ad situation, and because the limits get in the way once you use it seriously.


Go: for casual users who hit the free limits

  • Higher usage limits than Free
  • Cheaper than Plus
  • Ad-supported, and does not put the top model in front of you for everyday chat


Go is a personal, budget tier. It is not built for business, we would skip it for team use.


Plus: for one person using AI daily

  • The current flagship model, with generous daily limits
  • Image generation, voice mode, file uploads and web search with citations
  • Custom GPTs, the agent feature, and a monthly allowance of deep research runs
  • No shared workspace, and no admin controls
  • Your data may be used for training by default, with an opt-out available (see below)


Plus is the right plan for an individual who uses AI every day. The catch for teams is that Plus is a personal account. There is no shared space, no central billing, and no way for an admin to manage it. Five people on five separate Plus accounts is five islands.


Pro: for heavy individual users

  • Everything in Plus, with much higher limits
  • Access to the most capable model settings for complex reasoning
  • Standard tier at $100, higher tier at $200


Pro is for the person who lives in ChatGPT and keeps hitting the ceiling on Plus, or who runs long, complex research and coding tasks. It is an individual plan, so like Plus it does not give you a team workspace. Its role in a business is usually to top up one or two power users, not to run the whole team.


Business: for teams that share work

This is the plan built for small business. ChatGPT Business (previously called ChatGPT Team) gives your people a single shared workspace instead of separate personal accounts.


Key features:

  • A shared workspace with central billing and an admin console
  • Shared projects, so a group can work toward the same goal with the same files and instructions in one place
  • Organisational connectors to tools like Gmail, Google Calendar, Google Drive, Outlook, Microsoft Teams, SharePoint, GitHub, Dropbox and Box, controlled centrally by an admin
  • Admin roles (Owner, Admin, Member) to manage who can invite people, configure tools and change settings
  • Your data excluded from training by default, encrypted in transit and at rest
  • SAML single sign-on and multi-factor authentication for secure access
  • Generous access to the advanced models and features, including deep research and the agent


The minimum is two seats. It scales comfortably to a team of 15.

Billed annually it works out at roughly the same per person as an individual Plus subscription. You are paying a similar amount and getting the workspace, the admin control and the data protection on top.


Enterprise: for larger organisations

  • Custom pricing and the highest usage limits
  • Advanced security, automated user provisioning and deeper compliance controls
  • Aimed at bigger deployments, generally organisations in the hundreds


For a team of up to 15, Enterprise is overkill. Business covers what you need without the custom contract.

A note on the two Pro prices: OpenAI splits Pro into a standard tier and a higher tier. The higher tier unlocks its most capable model settings and the largest usage limits. Very few small businesses need it.


Work out your own numbers


The list prices are one thing. What matters is what your team would actually pay, and what you would get back in time. Set your team size below, add any power users, and you will see a monthly cost in Australian dollars along with a rough estimate of the time it could save.


The three things teams actually ask about


Sharing work across the team


On Business, the main tool for shared work is a shared project. A project is a container for a set of chats, files and instructions. Anyone in the workspace who has access can add to it, and ChatGPT uses that shared context so every new chat starts with the latest information. It suits ongoing work like a client account, a content programme or a monthly report, where you want everyone working from the same brief rather than starting cold each time.


Two things to know. Shared projects sit inside the Business workspace, so to share properly your whole team needs to be on the one workspace, not on scattered personal accounts. And you can also build custom GPTs and shared knowledge that the team reuses, which is useful for locking in a consistent tone or process.


Letting some people do more than others


This is where a common assumption trips people up, so it is worth being clear. Within a Business workspace, every standard seat gets the same ChatGPT capabilities. The roles (Owner, Admin, Member) control administrative power, who can invite people, manage connectors and change settings, not how powerful each person's ChatGPT is. There is no "Pro seat" you can buy inside Business to give one person more grunt than the rest.


So how do you handle a team where one or two people need more? The practical approach is a mix:

  • Put the whole team on Business seats for the shared workspace, the connectors and the data protection.
  • For the one or two heavy users who run long research or coding tasks, add a separate individual Pro subscription alongside their Business access.


It is not a single tidy invoice, but it is the honest, workable answer. Most teams find that Business seats are more than enough for everyone, and only add Pro for genuine power users.


Connecting ChatGPT to your existing tools


Business supports organisational connectors to the everyday tools most teams already run, including Google Workspace, Microsoft 365, SharePoint, GitHub and file storage like Dropbox and Box. The important part for a business is that an admin controls which connectors are switched on for the whole workspace.


You are not relying on each person to set up their own integrations or make their own call on what to connect. That central control is the difference between a tidy setup and a mess, and it is a big reason connectors belong on a business plan rather than personal accounts.

Our recommendation for a team of up to 15


Start everyone on ChatGPT Business, billed annually. It gives you the shared workspace, the connectors, the admin control and, importantly, keeps your work out of the training data by default. That last point matters for any business handling client information, and it matters even more for government and community organisations.


If one or two people are clearly power users, give them a personal Pro subscription on top. Leave Enterprise until you actually need automated provisioning or deeper compliance controls, which usually means you have grown past this size.

Skip Free, Go and individual Plus accounts as your team foundation.


They cost you the shared workspace, the admin control and the data protection, and those are the exact things a business needs.


What the pricing pages do not shout about


A few things worth knowing before you commit:

  • The annual commitment. Business is cheapest billed annually, which means paying twelve months up front. Monthly billing costs a little more but keeps your options open.
  • Which model answers. The headline is the plan. What actually changes your experience is which model responds when you hit send, and that varies by tier and by task. The model names change often, so do not over-index on them.
  • Ads on the cheap tiers. Free and Go carry ads in some markets, which is another reason they are a poor base for client-facing business use.
  • Prices move. OpenAI has changed names and prices more than once in the past year. Treat the figures here as a July 2026 snapshot and confirm before you buy.


Tip: switch off training on the personal plans

If anyone on your team uses a personal plan (Free, Go, Plus or Pro), there is one setting worth changing straight away. On these plans, OpenAI uses your conversations to help train its models by default. You can turn that off in about thirty seconds.

Go to Settings, then Data Controls, and switch off "Improve the model for everyone". From that point, your new chats are excluded from training. It is worth having everyone on a personal plan do this, especially if they touch client or sensitive information.


Two things to know. On ChatGPT Business and Enterprise this is already off by default, so your workspace data is not used for training, though it is still worth confirming. And even with training switched off, OpenAI may keep chats for a short period for safety, so for a one-off sensitive conversation, use a Temporary Chat, which leaves no history and is not used for training.

Is ChatGPT Business worth it for a small team? Yes, for most small teams it is. Billed annually, ChatGPT Business costs roughly the same per person as an individual Plus subscription, but adds a shared workspace, admin controls and data protection. For a business of up to 15 people, it is usually the sensible starting point.


What is the difference between ChatGPT Plus and ChatGPT Business? Plus is a personal account for one person, with no shared workspace and no admin controls, and your data may be used for training by default. Business is built for teams. Can some users have more powerful access than others in ChatGPT Business? Not within Business itself. Every standard Business seat has the same capabilities, and the admin roles only control settings and management, not power. To give one or two people more, keep the team on Business seats and add a separate individual Pro subscription for those users.


Does ChatGPT Business connect to Google Workspace and Microsoft 365? Yes. ChatGPT Business connects to tools including Gmail, Google Calendar, Google Drive, Outlook, Microsoft Teams and SharePoint, along with GitHub, Dropbox and Box. Does OpenAI train on my business data? On Free, Go, Plus and Pro, your content may be used for training by default, with an opt-out available. On ChatGPT Business and Enterprise, your workspace data is excluded from training by default and encrypted. This is a key reason to choose Business for any work involving client or sensitive information.


How much does ChatGPT cost in Australia? OpenAI prices in US dollars and adds GST for Australian customers. As a rough guide including GST, Plus is around $35 a month, Business is around $34 per seat a month billed annually, and Pro is around $165 or $330 a month depending on the tier. Confirm the exact amount at the checkout, and if you are registered for GST you can usually claim it back.

Personal tip: sharing one account on a shared inbox

Tip: sharing one account on a shared inbox

If your organisation already runs a shared email like marketing@ or admin@, setting up a single ChatGPT account on that inbox is a realistic and cost effective option for a small team. It is the simplest way to give a few people access, and it keeps everything in one place.


The appeal is that it is centralised. Everyone works from the same account, so the chat history, saved projects and custom instructions sit together where the whole group can see them. One person can start a piece of work and another can open it later and carry on, without forwarding anything around. For a small business where a handful of people share the same tasks, that shared view is genuinely useful, and it is the most affordable way in.
